Google Forms - Copy Summary Graph/Diagram to Use Elsewhere

If you are looking at the summary view of the results for some Form data you have collected, you can  copy a chart or diagram that you want to use elsewhere very easily and quickly. Simply hover over the chart or diagram, and a copy icon will appear in the upper right corner of it.  Click on that - You will get a message that it has been copied to to the clipboard in the lower left corner -  You can then paste it into the location you want to use it.  Here's an example in a G Doc -  I also pasted it into: Slides, an email, a Sites webpage, in my Blogger.  A nice feature addition that saves time from taking screenshots!

Google Drive - Transferring Ownership of Documents

Today I asked about transferring ownership of documents in G Drive.  There are five ways I know of to change ownership of files. It occurred to me I should share here in case others are asked (or wonder) about this also! I've outlined them below, because some will depend on G Suite administrators being involved, and some depend on the number of files to be moved. Here the ways: Copying the file - done by you (or currently user) by going to the File menu on a file you have edit rights to, and creating a copy (what you are currently doing)  This by far the most tedious if it involves more than a couple files.  It actually makes multiple copies of the file, each with its own ownership.  The best use of this method is for when a document is wanted by another person, but the creator also still needs the file. Switching ownership - the   current owner   of the file goes into the share settings and changes the access right of another editor to own...

Google Slides - Share a Slide instead of Pasting It

There are many times I have to share the same information to 2 different audiences, which means I spend time copying and pasting slides from one slide show to another. Now, with Google Slides, you can actually "share" a slide from one show to the other...so when you update the information on that slide, it can be simply refreshed on the other slides shows.  This is slick!  Additionally, you get the option as to if the connected slides match the theme on your original show OR match the theme in your current show. Here's how - Copy the slides on your existing show (control+C on PC or command+C on Mac): Go to the slideshow that you want to add the slides to - if it already has multiple slides, click where you want to add the slides: Paste the slides in (control+V on PC or command+V on Mac).  When it pastes it in, you will have the link options pop up - decide if you want the slides linked (so it can be updated when editing the original slides) or not linke...

Google Drive - Force Users to Make a Copy

There is a little trick you can use to force users to make a copy of a document, if wanted.  I often run into a situation with my professional development where I need participants to fill out a form.  In the past, I would make it view only and then ask them to make a copy of the document.  Then I would spend way too much time troubleshooting for people that struggled with this.  Now, I provide a modified link that asks them to make a copy of the document.  How? Grab the URL of the document - Change the "edit" at the end of the URL to "copy" - This modified URL is what to share/post/email with those that you want to copy the document.  The user will get the following - Notice that the only button choice on there is Make a copy.  Permissions still hold true when doing this.  Your document needs to be shared as view only either globally (everyone with the link can view) or individually (the group or individuals need to be added with...

Google - Copy an Event to a Secondary Calendar

Occasionally I have the need to copy an event from my primary calendar to a collaborative calendar I use with a team.  I want it on my primary calendar (so I get the notifications I want, for example), but also need to make sure it is shared.  This is very easy to do in Google Calendar. Click on the event to display the event details, then click on Edit event - When looking at the full event details, click on the More Actions dropdown -  Select the secondary calendar you wish to copy the event to -  Review the information, making changes if needed, and click on Save -   The event will now display on both calendars -

Google Calendar - Duplicating an Event

Sometimes you end up with multiple events that have the same setup - the same people, same rooms, same times, etc.  But it may be that setting recurring events just doesn't make sense.  When this happens you need to duplicate the event instead.  Here's how: Open up the event to duplicate.  Go to More Actions and select Duplicate Change the date to the additional date: Save

Google Documents - More Security in Sharing

The newest update in Google Drive gives some more options to protect your documents - finally, you can keep your document from being copied! When you are sharing your document (or spreadsheet), go to the Advanced option: Look for a new checkbox at the bottom of the window that says "Disable options to download, print, and copy for commenters and viewers."  So, what does this do for those you share it with?  Three key things - 1.  It takes away many options in the File Menu, including "Make a copy," "Download as," and "Print."  2. If they try to share it further, they get the message "You must ask the owner to invite the people below."   3. If they try to highlight and copy or cut the content on the page, they get the message "Options to download, print, and copy have been disabled on this file." This is a huge change in helping to keep the integrity of shared documents. Want to see it in action...
