Google Calendar - Global Calendar Sharing

Image
One of the most powerful features of an online calendar is the ability to share it.  You have 2 levels of sharing for each calendar you create.  This gives you total control over who can see AND edit events.  For today's post we will talk about the global setting.  Tomorrow there will be a post about how to provide permissions only to specific people. (Here is a video on How to Share Your Calendar Globally if you prefer.) To share your calendar: Go to your calendar list, and hover over the calendar to find the Options menu (or More Menu) - Choose Settings and sharing - Scroll down to Access Permissions - You have several options here.  The first option is whether your calendar is viewable to the public or not.   If you select to have it visible to the public, you can either have people see only free/busy time OR let them see all event details for items on your calendar - The second option is the view-ability for people in your ...

Google Calendar - Updated Individual Calendar Settings

Image
Along with a new look, the settings are a bit different in Calendars now.  Not only do they look a bit different, but they are reorganized also.  Here's a brief overview of what can be found where now.   First, when you right-click on a calendar (or click the arrow to the right of a calendar), the menu is simplified from what it was previously.  There are now only 3 options (left side of picture below) -  Display this only Hide from list Settings & Sharing When you select Settings & Sharing for a calendar, another list appears directly below that calendar - That list matches each section of the settings that appear in the content window (where the calendar normally displays) - The following sections and corresponding information can be found in the settings above: Calendar settings : the calendar name, description, time zone and (if applicable) organization the calendar belongs to. Auto-accept invitations: set if invitation...

Google Drive - Force Users to Make a Copy

Image
There is a little trick you can use to force users to make a copy of a document, if wanted.  I often run into a situation with my professional development where I need participants to fill out a form.  In the past, I would make it view only and then ask them to make a copy of the document.  Then I would spend way too much time troubleshooting for people that struggled with this.  Now, I provide a modified link that asks them to make a copy of the document.  How? Grab the URL of the document - Change the "edit" at the end of the URL to "copy" - This modified URL is what to share/post/email with those that you want to copy the document.  The user will get the following - Notice that the only button choice on there is Make a copy.  Permissions still hold true when doing this.  Your document needs to be shared as view only either globally (everyone with the link can view) or individually (the group or individuals need to be added with...

Google Sites - Share Settings Basics

Image
Let's cover the basics of the share settings and options on a Google Site.  There are some small differences between how Sites and Drive handle sharing, which I'll include. First - you have options in how to get to the Sharing and Permissions settings.  You can either go to the Settings gear and look for it towards the bottom of the menu, OR you can simply click on the blue Share box right next to the gear: When you do either of those, you should come to this familiar screen of the Share Settings: This screen has 3 different pieces of information on it: the URL of the site which you can copy & paste the global share settings for the site share settings for any individuals you have shared the site with The URL is simply that - there is no modifying it.  So let's look at the global settings. The options range from completely public to completely private.  If you are in a personal Google account, you will have 3 options here - Public, Public with the ...
